Suffolk and South Yorkshire Fire and Rescue Service’s LEJOG Team
Terms and Conditions (T’s and C’s) for entering a bid for a team place on the 2021 LEJOG ride.


These Terms and Conditions, together with any other written or verbal information the Organising Committee bring to your attention for the LEJOG ride, form the basis of your agreement with SFRS LEJOG team. Please read them carefully before submitting your bid as they set out the respective rights and obligations for all parties. In these Terms and Conditions references to “you” and “your” is the named person on the successful bid application.

By making the bid you, the applicant, agrees that:

  1. You have read these Terms and Conditions (T’s and C’s) and has the authority to and agrees to be bound by them;
  2. You consent to our use of personal data in accordance with the GDPR Privacy Policy of Suffolk County Council (SCC) and is authorised to disclose their personal details to us, including where applicable special categories of data (such as information on health conditions or disabilities and dietary requirements);
  3. You are over 18 years of age and resident in the United Kingdom.
  4. You accept financial responsibility for payment of the successful bid application.
  5. You are currently an employee of either Suffolk Fire and Rescue Service, Suffolk County Council, South Yorkshire Fire and Rescue Service or South Yorkshire Joint Authority.


All bookings are made subject to the eligibility requirements listed at section 2 below. The organising committee reserve the right to return your bid money and decline to issue a confirmation at their absolute discretion. A binding contract will come into existence between you and Organising Committee as soon as they have issued you with confirmation that you are the winning bidder that will confirm the details of the LEJOG ride and will be sent to you. The accommodation provisions included at section 14 will also apply to your booking.

Upon receipt, if you believe that any details on the confirmation or any other document are wrong you must advise the Organising Committee immediately as changes cannot be made later and it may harm your eligibility if they are not notified of any inaccuracies in any document within ten days of our sending it out.

The bid amount is to be paid in full within 24 hours of the closing date and time as advertised. If the Organising Committee do not receive this amount in full and on time, they reserve the right to treat your bid as cancelled by you in which case they shall rescind the offer to ride with the LEJOG team.


In making a bid you understand that there are certain risks and dangers inherent in taking part in a cycling event and that by the very nature of the activities you will participate in these may be hazardous to you, including cycling on uneven surfaces, cycling in inclement weather, cycling in close proximity to vehicular traffic and any other activities involving inherently dangerous risks, and you acknowledge that you will be exposed to an element of personal risk. These include the risk of personal injury and death and loss of or damage to your property. You are under a duty to mitigate any risks to yourself as far as is practicable, by taking all reasonable steps to comply with all instructions given by the organising committee and the designated tour leader and the instructions included in your route map and taking all reasonable steps to ensure your own safety whilst taking part in the event.

It is your responsibility to ensure that you are at a sufficient level of fitness to take part in the LEJOG event (please also see section 13 – Disabilities and Medical Problems). You will generally be at a sufficient level of fitness if you are able to complete your day’s cycling within a reasonable timescale (which shall be set by your tour leader and shall mean completing the day’s cycling by 18:30 hours local time at the latest). If you finish your day’s cycling beyond this time period, it shall be at the Organising Committees absolute discretion as to whether you are at a sufficient level of fitness to continue with the event. You are required to follow any safety advice or other instructions provided to you by your tour leader and always wear a cycle helmet and appropriate clothing whilst cycling.

When using your bike, it must be suitable for use for the duration of the event. It is your responsibility to arrange for your bike to be transported to the event start. Your bike must be insured for the duration of the event, and your insurance should cover loss or damage to your bike that may occur during the event. The Organising committee cannot accept any responsibility for any damage to your bike or loss of your bike, including if your bike is stolen during the event.

There will be a daily safety riding brief which is mandatory and failure to attend breaks these terms and conditions.


The organising committee will endeavour to ensure that all the information and statements contained in advertising material is accurate, however occasionally changes and errors occur and the Organising Committee reserve the right to correct details in such circumstances. You must check the current details relating to the arrangements that you wish to make before you make your bid.


Adequate travel insurance is a condition of your contract with the Organising Committee. You must be satisfied that your insurance fully covers all your personal requirements including pre-existing medical conditions, cancellation charges, medical expenses and repatriation in the event of accident or illness. If you choose to travel without adequate insurance cover, the Organising Committee will not be liable for any losses howsoever arising, in respect of which insurance cover would otherwise have been available.


The Organising Committee reserve the right to amend the starting bid price at any time and. The Organising Committee also reserve the right to increase the price of the starting bid price solely to allow for increases which are a direct consequence of changes in:

  1. the price of the carriage of passengers resulting from the cost of fuel or other power sources;
  2. the level of taxes or fees chargeable for services applicable to the event imposed by third parties not directly involved in the performance of the event.


If you are forced to return home early, the Organising Committee cannot refund all or part of your bid amount. If you cut short your event and return home early in circumstances where you have a complaint about the standard of accommodation and services provided, the Organising Committee will not offer you any refund for your event or be liable for any associated costs you may incur. Depending on the circumstances, your travel insurance may offer cover for curtailment and we suggest that any claim is made directly with them.


If you change your mind and no longer wish to take part in the event you must inform the Organising Committee in writing (which includes by email) as soon as possible. This should be done by the named person on the bid application or by a suitably authorised person on your behalf. Whilst the organising committee will do their best to assist, they cannot guarantee they will be able to meet your requested change. Where they can meet a request, all changes will be subject to payment of any costs and charges incurred by the Organising Committee and/or incurred or imposed by any of their suppliers in making this change. You should be aware that these costs could increase the closer to the departure date that changes are made, and you should contact the Organising Committee as soon as possible. Where they are unable to assist you and you do not wish to proceed with the event, they will treat this as a cancellation by you. A cancellation fee may be payable in accordance with clause 9.


If you are prevented from travelling, your place may be transferred to someone else, subject to the following conditions:

  1. that person is introduced by you and satisfies all the conditions applicable to the event;
  2. the organising committee are notified not less than 21 days before departure;
  3. you pay any fees, charges or other costs arising from the transfer; and
  4. the transferee agrees to these conditions and all other terms of the contract between us.

You and the transferee remain jointly and severally liable for payment of all sums. If you are unable to find a replacement, cancellation charges as set out in clause 9 will apply in order to cover our estimated costs. Otherwise, no refunds will be given for you not travelling.

Important Note: Certain arrangements may not be amended or transferred after they have been confirmed and any alteration could incur a cancellation charge.


If you decide to cancel your event participation you must notify the Organising Committee in writing (which includes by email). Your notice of cancellation will only take effect when it is received in writing by the Organising Committee at our offices and will be effective from the date on which it is received.

Since costs are incurred in cancelling your arrangements, you will have to pay the cancellation charges as follows:

At any time before start date£250

If the reason for your cancellation is covered under the terms of your insurance policy, you may be able to reclaim these charges.


Your event arrangements are planned many months in advance and occasionally changes have to be made or it may be cancelled, we reserve the right to do so at any time.

Changes: If the Organising Committee make a minor change to your event, they will make reasonable efforts to inform you as soon as reasonably possible if there is time before your departure but they will have no liability to you. An example of a minor change would include change of accommodation to another of the same or higher standard.

Occasionally the Organising Committee may have to make a significant change to your confirmed arrangements. Examples of “significant changes” include the following, when made before departure:

  1. A change of accommodation area for the whole or a significant part of your time away.
  2. A change of accommodation to that of a lower standard or classification for the whole or a significant part of your time away.
  3. A change of outward departure time or overall length of your arrangements by more than 12 hours.
  4. A significant change to your itinerary, missing out one or more destination entirely.

Cancellation: The Organising Committee will not cancel your travel arrangements less than 60 days before your departure date, except for reasons of Events Beyond Our Control (Section 10) or failure by you to pay the bid amount.

If the Organising Committee have to make a significant change or cancel, they will tell you as soon as possible and if there is time to do so before departure, will offer you the choice of:

  1. (for significant major changes) accepting the changed arrangements; or
  2. having a refund of all monies paid less the £250 minimum bid amount.

You must notify the Organising Committee of your choice within 7 days of the offer. If they do not hear from you within 7 days, they will contact you again to request notification of your choice. If you fail to respond again, they will assume that you have chosen to accept the change or alternative arrangements.


No compensation will be paid should the event fail to go ahead.


Except where otherwise expressly stated in these Terms and Conditions the Organising Committee will not be liable or pay you compensation if our contractual obligations to you are affected by “Events Beyond Our Control”. For the purposes of these Conditions, Events Beyond Our Control means any event beyond their or their supplier’s control, the consequences of which could not have been avoided even if all reasonable measures had been taken. Examples include warfare and acts of terrorism (and threat thereof), civil strife, significant risks to human health such as the outbreak of serious disease (including COVID 19) at the travel destination or natural disasters such as floods, earthquakes or weather conditions which make it impossible to travel safely to the travel destination or remain at the travel destination, the act of any government or other national or local authority including port or river authorities, industrial dispute, labour strikes, lock closure, natural or nuclear disaster, fire, chemical or biological disaster, unavoidable technical problems with transport and all similar events outside the organising committee’s or the supplier(s) concerned/ control.

Brexit Implications: please note that certain travel arrangements may be affected as a result of the United Kingdom’s decision to leave the European Union. Please rest assured that this is something the organising committee will continue to monitor and will advise you as soon as possible if we become aware of any arrangements that will be affected. However, since this is something which is completely unprecedented and outside their control, they would treat any such changes as ‘Events Beyond Our Control’, and whilst the Organising Committee  will endeavour to provide suitable alternative arrangements, they will not be liable to pay you any compensation.


Any special requests must be advised to the Organising Committee at the time of bidding e.g. diet, room location, a particular facility at a hotel etc. You should then confirm your requests in writing. Whilst every effort will be made by the Organising Committee to try and arrange your reasonable special requests, they cannot guarantee that they will be fulfilled. The fact that a special request has been noted on your confirmation notice or any other documentation or that it has been passed on to the supplier is not confirmation that the request will be met. Failure to meet any special request will not be a breach of contract on our part unless the request has been specifically confirmed by us. The organising committee do not accept bids that are conditional upon any special request being met.


The Organising Committee will do our utmost to cater for any special requirements you may have. If you have any medical problem or disability which may affect your bid application, please provide the Organising Committee with full details before you make your bid so that the Organising Committee can try to advise you as to the suitability of making a bid. The Organising Committee may require you to produce a doctor’s certificate certifying that you are fit to participate. Acting reasonably, if the Organising Committee are unable to properly accommodate the needs of the person concerned, they will not accept your bid or if you did not give them full details at the time of bidding, they will cancel it and impose applicable cancellation charges when they become aware of these details. If, during your event, they become aware of a medical problem or disability which may affect your health and safety or the health and safety of others, which you did not disclose at the time of bidding, they reserve the right to postpone, restrict or cancel your involvement in any cycling activities, at the Organisers sole discretion.


The first night, 9th night and 10th night accommodation is pre-booked hotel accommodation on a bed and breakfast basis. There will be a requirement to share a room with another member of the LEJOG team. The minimum bid figure (£250) is set to cover the cost of this accommodation and in the event that the event is cancelled a refund will be issued in line with that issued by the hotel companies. No other refund will be given.

All other accommodation throughout the duration of the event will be supplied by Fire and Rescue Services on the route. The accommodation will be at fire stations and as such facilities will be limited and it should be noted you may have to sleep on a floor.

No cooking facilities are available at the any of the Fire Station accommodation.


The Organising Committee will make every effort to ensure that the event arrangements run smoothly but if you do have a problem during the event, please inform the Organiser immediately who will endeavour to put things right.

If the problem cannot be resolved and you wish to complain further, you must send formal written notice of your complaint to the Organising Committee at Suffolk Fire and Rescue Service via Suffolk County Council, ideally within 21 days of the end of the event.


All team members are expected to conduct themselves in an orderly and acceptable manner and not to disrupt the enjoyment of others. If in the Organising Committee’s opinion or in the opinion of any hotel manager, Organiser or any other person in authority, your behaviour is causing or is likely to cause distress, danger or annoyance to any other team member or any third party, or damage to property, or to cause a delay or diversion to transportation, they reserve the right to terminate your event immediately.

In the event of such termination our liability to you will cease and you will be required to leave your accommodation or other arrangements immediately. The Organising Committee will have no further obligations to you. No refunds for lost accommodation or any other arrangements will be made, and they will not pay any expenses or costs incurred as a result of termination. You may also be required to pay for loss and/or damage caused by your actions and we will hold you individually liable for any damage or losses caused by you. Full payment for any such damage or losses must be paid directly to the hotel manager or other supplier prior to departure. If you fail to make payment, you will be responsible for meeting any claims (including legal costs) subsequently made against us as a result of your actions together with all costs we incur in pursuing any claim against you.


Excursions or other tours that you may choose to book or pay for whilst you are on the event are not part of your arrangements with the Organising Committee. For any excursion or other tour that you book, your contract will be with the operator of the excursion or tour and not with us. The Organising Committee are not responsible for the provision of the excursion or tour or for anything that happens during the course of its provision by the operator.

Many of the services which make up your event are provided by independent suppliers. Those suppliers provide these services in accordance with their own terms and conditions which will form part of your contract with the Organising Committee. Some of these terms and conditions may limit or exclude the supplier’s liability to you, usually in accordance with applicable International Conventions. Copies of the relevant parts of these terms and conditions are available on request from us or the supplier concerned.


If, whilst you are on the event, you find yourself in difficulty for any reason, the Organising Committee will offer you such prompt assistance as is appropriate in the circumstances. In particular, they will provide you with appropriate information on health services, local authorities and assistance with distance communications and finding alternative travel arrangements. Where you require assistance which is not owing to any failure by the Organising Committee, our employees or sub-contractors the Organising Committee will not be liable for the costs of any alternative travel arrangements or other such assistance you require. Any supplier or transport supplier may however pay for or provide refreshments and/or appropriate accommodation and you should make a claim directly to them.

Subject to the other terms of these Conditions, the Organising Committee will not be liable for any costs, fees or charges you incur in the above circumstances, if you fail to obtain our prior authorisation before making your own travel arrangements.


If you miss a transport arrangement, it is cancelled or you are subject to a delay of over 3 hours for any reason, you must contact the Organising Committee and the transport supplier concerned immediately.

We cannot accept liability for any delay which is due to any of the reasons set out in clause 10 of these Conditions.


The winning bid amount includes event accommodation, refreshments and snacks during the riding day. Breakfasts and evening meals are subject to arrangements made on the day and you will be responsible for the payment of these at the time.  Full trip support including a team leader that cycles with the group, back up van with some spare parts, detailed route notes, sponsored LEJOG riding apparel, luggage transfer each day, transfer from Ipswich to Penzance and on to Lands End and transfer from John O’Groats to Ipswich.


Breakfasts and Evening meals (with the exception of hotel accommodation),  cycle hire, safety equipment lights and helmet, Garmin hire, cycle maintenance, cycle insurance, personal insurance, transport to Ipswich, transport from Ipswich.


The group will be a minimum of 5 and a maximum of 15 people, this size of group works best as there will always be enough in the group for some good company but there won’t be so many people that it becomes overcrowded.


The hotel accommodation as described in section 14 on the given dates. All other accommodation is on operational Fire and Rescue Service stations.


Wherever possible the cycle route is along quiet country lanes and cycleways, it only joins main roads were absolutely necessary. The terrain is varied but generally undulating rolling fields and hills with some areas hillier than others (primarily Cornwall, Dartmoor, Lake District & Scotland). Our route takes in some of the UK’s most beautiful scenery.


There will be limited refreshments provided during the event. There are limited energy supplements available for each day of the ride which are vegan and or gluten free and these will be provided by the support team at the pre-arranged ride stops. Evening meals will be sourced in the local area of the accommodation that day for which you will be liable.


An experienced team leader will cycle with you each day and be on hand to help with any bike problems that may occur.

A back up van will leap-frog the group a number of times each day so that help is never far away. We carry a range of spare parts so that repairs can be made en-route and we will have a spare bike available in the event that your bike has a serious breakdown.


We highly recommend that you use a bike that you are used to and feel comfortable riding. Your bike should be fully serviced and in good condition before you start, this will reduce the risk of mechanical problems and unnecessary stoppages along the way. It should be noted that if you have your bike serviced before the event then it is a good idea to ride it a few times to allow things to ‘bed in’ before joining the event. Either a road bike or a touring bike is preferable. Please note that the LEJOG team will not be held responsible for any damage caused in the transportation of the bikes. Any bikes with DI gears need to bring their chargers with them for the trip and riders also need to be aware that it may be necessary to remove the saddle and in some cases with DI gears, unplug the cable (although we try to avoid this).


This event is suitable for someone with a good level of fitness and who wants a challenge. If you do plenty of training beforehand you should have no problem completing the ride. We will have training days in the weeks leading up to the event available if you would like to join the group before the main event.

It must be stressed that a good amount of training before the ride will make your event much more enjoyable and ensure that you finish your ride. The Organising Committee are always happy to advise you about training plans in preparation for the ride.


Clothing for all weathers is recommended so waterproofs are essential. A full recommended kit list is provided for which will be at your expense. Should you require further details please contact the Organising Committee.

Space on the transport is restricted so personal luggage is limited to one medium sized holdall/case and 1 small sized rucksack.

The Organisers of the event hope you enjoy your LEJOG event experience with the team of Suffolk and South Yorkshire Fire and Rescue Services.
